What to bear in mind when sending secure invoices to patients

Whether you’ve just started out as an independent therapist, or you’ve been practicing for several years, you’ve undoubtedly had to deal with sending out invoices. Perhaps you’re already emailing them to your patients. While this method is easy to use, it’s not the safast security wise and can even be illegal!

If you send an invoice via email you must make sure the email is encrypted. Otherwise, according to the nLPD, you are in breach of your duty and could even be sued by your patients!

However, you can also ask for consent, preferably in written form, to protect yourself in the event of data breach. But the best thing for everyone is, of course, to use a billing solution or software that secures data directly. How OneDoc handles secure invoice dispatch

When you create an invoice with our Tarif 590 billing module, you have the direct option of sending it securely by email. Each patient will benefit from a unique link in the email, which will direct them to our secure platform hosted in Switzerland. From this platform, only the recipient of the invoice will be able to download it, thanks to a code he or she will receive by SMS.

 

What does this mean for me as a healthcare professional?

As a therapist, this option is the default when you send the invoice via OneDoc Pro, so all you have to do is enter the email and telephone number of the person you wish to send the invoice to. If your patients use OneDoc’s online booking feature, or if you have already entered their details previously, they will be displayed directly on the invoice, no need to copy them again.

However, if you wish to send the invoice by another secure means, you can also download the invoice from the billing module in your OneDoc Pro professional space.

 

How can my patients access their secure invoices?

Instead of receiving billing documents as attachments, your patients will now be able to easily download these documents from our secure platform via an email link. The patient will then need his or her mobile phone to enable double authentication. This step ensures that only authorized patients can access their invoices.

Please note that the link will be active for 30 days. Once this period has elapsed, you can resend the invoice, and the patient will receive a new link, also valid for 30 days.
On the secure platform, your patient can easily choose which documents to download.
