Frequently asked questions about the OneDoc AI phone assistant

Does Emma replace my front desk staff?

No. Emma is designed to support and relieve your front desk—not to replace it. She primarily handles repetitive calls so your team can focus on in-practice patients and complex situations.

Does Emma really understand patient requests?

Yes. Emma is powered by artificial intelligence capable of understanding natural language and common medical requests. She follows practice-specific scenarios configured according to your specialty, rules, and workflows.

If a patient books an appointment with the assistant, does it appear in my calendar?

Yes. Appointments booked by phone through the OneDoc Pro phone assistant are automatically added to your OneDoc calendar and synchronized with your medical software, according to your usual configuration.

What happens with requests such as prescription renewals or messages for the doctor?

Emma makes no medical decisions. When a request requires human intervention, Emma transfers the call whenever possible. Otherwise, she collects the necessary information and automatically creates a clear, structured task in OneDoc Pro for your team.

Which requests can Emma handle autonomously?

Emma can handle appointment scheduling, practical information requests (opening hours, address, directions), message forwarding, task creation, call triage and routing. How Emma handles each request type is defined in advance together with your practice team.

What happens if Emma cannot answer or if the request is complex?

In that case, Emma forwards the request to your front desk, including all collected information. Nothing is lost, and your team always remains in control.

How does the front desk continue working with Emma?

Emma integrates into your existing organization.

You decide:

  • which requests are handled automatically
  • which are forwarded to the front desk
  • when Emma answers calls (opening hours, breaks, after hours, peak load)

With Emma, you experience fewer interruptions and a much more controlled call flow.

Can Emma be used only when the practice is closed or overwhelmed?

Yes. Emma can be activated during specific time slots, for example when your assistant is unavailable or during peak call periods (such as when the practice opens). The setup is fully customizable for each individual practice.

Can I personalize Emma to reflect my practice’s identity?

Yes. The name, voice, tone, schedules, and conversation scenarios can all be customized so that Emma naturally fits your practice and your way of working.

Does the phone assistant work without OneDoc?

No. Emma is fully integrated with OneDoc Pro (calendar, tasks, opening hours). You must be a OneDoc customer to use the phone assistant.

Does Emma hang up if there's no one on the line?

Yes. Emma asks a few questions and, if she doesn’t receive a reply, she informs the caller that she is now hanging up. It usually takes no more than 30 seconds for a call to be ended without a response from the caller.

Can Emma book appointments for other people, such as children or elderly relatives?

Yes, just as you can book an appointment for a third person via onedoc.ch, you can also do so via Emma.

Can Emma have different attitudes depending on the professional?

Yes, when Emma asks the patient which specialist they would like to book an appointment with, Emma can apply the relevant appointment booking settings for that specialist.
